2. Personal Data We Collect

Depending on how you interact with SFS, we may process personal data including your name, email address, telephone number, company name, job title, business address and other contact information.

When you become a client or engage us to provide professional services, we may also process information required for bookkeeping, accounting, payroll, tax compliance, financial consulting, business administration and related services. This may include identification information, financial and transactional information, invoices, accounting records, employee or payroll information, tax information and other information you provide to us.

When you use our website, certain technical information may also be processed, such as your IP address, browser type, device information, pages visited and cookie information.

Please do not provide personal data that is not necessary for the service or communication concerned.

3. How We Collect Personal Data

We may obtain personal data directly from you when you contact us, complete a website form, request a consultation, communicate with us by email, telephone or WhatsApp, or enter into a business relationship with us.

Where necessary for our professional services, we may also receive information from your company, employees, representatives, accounting or ERP systems, professional advisers, payroll providers, financial institutions, government authorities or other parties involved in providing services to you.

4. Why We Use Your Personal Data

We may process personal data to respond to enquiries and consultation requests; provide bookkeeping, accounting, tax, payroll, ERP and financial consulting services; communicate with clients and prospective clients; prepare quotations and agreements; administer our client relationships; issue and process invoices; comply with tax, accounting and other legal obligations; maintain and secure our website and IT systems; prevent fraud or misuse; and establish, exercise or defend legal claims.

Under the GDPR, personal-data processing requires an appropriate legal basis. Depending on the circumstances, SFS may rely on performance of a contract, steps taken before entering into a contract, compliance with a legal obligation, legitimate interests, or consent.

5. Contact and Consultation Forms

When you submit a form through our website, we may collect information such as your name, email address, company name, telephone number, service interest and the contents of your message. The current SFS contact form requests these categories of information.

We use this information to respond to your enquiry, provide requested information and, where applicable, take steps toward establishing a client relationship.

6. Client and Financial Information

Because SFS provides financial and administrative services, clients may provide us with personal data contained in accounting records, invoices, payroll records, tax documents and other business documentation.

Depending on the service, SFS may act as a data controller or process certain personal data on behalf of a client as a data processor. Where required, processing carried out on behalf of a client will be governed by an appropriate data processing agreement.

7. Sharing Personal Data

We do not sell your personal data.

We may share personal data where reasonably necessary with service providers that support our business, such as IT, hosting, software, accounting, ERP, communication and cloud-service providers.

Where relevant to services requested by a client, information may also be shared with professional advisers, payroll providers, tax authorities, government agencies, financial institutions or other authorised recipients.

We may also disclose information when required by law or where necessary to establish, exercise or defend legal rights.

Service providers processing personal data on our behalf are required, where applicable, to handle that information appropriately and in accordance with applicable data-protection requirements.

8. International Transfers

Some technology or service providers may process personal data outside the European Economic Area (“EEA”).

Where personal data is transferred outside the EEA, we take appropriate measures required by applicable data-protection law, where necessary, such as relying on an adequacy decision or appropriate contractual safeguards.

9. Data Retention

We retain personal data only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, tax, accounting and regulatory requirements.

Different retention periods may therefore apply to different categories of information. Information that we are legally required to retain will be kept for the applicable statutory retention period.

Once information is no longer required, we will delete or anonymise it where reasonably practicable, subject to applicable legal requirements.

10. Security

We take appropriate technical and organisational measures designed to protect personal data against unauthorised access, alteration, disclosure, loss or destruction.

However, no method of transmitting or storing information electronically can guarantee absolute security.

11. Cookies

Our website may use cookies and similar technologies that are necessary for the website to function and, depending on the technologies enabled on the website, for analytics or other purposes.

Where consent is legally required for a particular type of cookie or tracking technology, we will request consent before using it. The Dutch Data Protection Authority specifically requires appropriate information and consent for tracking cookies.

Where applicable, further details should be provided through our cookie notice or cookie settings.

12. Your Privacy Rights

Subject to the conditions and exceptions contained in applicable law, you may have the right to request access to your personal data; correct inaccurate or incomplete information; request deletion of personal data; restrict processing; object to certain processing; receive certain personal data in a portable format; and withdraw consent where processing is based on consent.

You may exercise your rights by contacting info@sfsbv.com.

We may need to verify your identity before processing a request in order to protect your information from unauthorised access.

These rights and the requirement to explain them in a privacy statement form part of the GDPR transparency requirements described by the Dutch Data Protection Authority.
